The CPD Cycle-End Checklist for Hong Kong Physiotherapists (2023–2026): Documents to Keep and How to Submit if Audited

Hong Kong's first mandatory CPD cycle — 1 July 2023 to 30 June 2026 — is almost over. Beyond filling in your CPD Record Form, you also need to keep the supporting documents for each activity, ready for an audit.
This guide is a final-check list of the documents to have in order before 30 June, and explains how to submit your CPD records and proof if the Board asks for them.

1. What documents do you need before the cycle ends?
Under the Physiotherapists Board's Mandatory CPD Manual, you must keep all your CPD records and documentary proof yourself for at least 6 years — and be able to produce them if the Board audits you. Before the 30 June deadline, make sure you have the following ready.
The checklist

| CPD Record Form (Appendix III) | The main declaration form — one per CPD year, so three across the cycle. Sign it and delete the declarations that don't apply. |
| Cat I / II attendance proof | Certificates or attendance records for accredited courses, seminars or programmes (each showing a CPD Code). |
| Cat III in-service training records | An attendance record (5 or more participants), the focused discussion topic, and the discussion / presentation materials. |
| CPD Self Study Record Form (Appendix IV, Cat IV) | The self-study form: the journal / literature title, plus a summary and reflection of at least 250 words. |
| Cat V active-participation proof | Evidence of lecturing or presenting at a scientific meeting (and not as part of your paid duties). |
| Cat VI publication proof | The article or work published in a professional journal or textbook. |
Check that you've met the requirements
- At least 45 points across the three-year cycle
- At least 23 Core points
- At least 5 points each year (1 July to 30 June the following year — no year can be zero)

2. How to submit your proof if you're asked
The Board's Education Committee carries out random checks on registrants' CPD. You don't hand everything in at the end of the cycle — instead, you keep your records and submit them, with all supporting proof, when the Board asks.
According to the Mandatory CPD Manual, when you are asked to submit, you can send your records and documentary proof to the Secretariat of the Physiotherapists Board by any one of these means:

A few things to keep in mind when you submit:
- Your information must be true, complete and accurate — it is your responsibility to provide enough to support the CPD points you claim.
- Insufficient proof may mean the points don't count — if you can't provide the supporting documents when asked, the points for those activities may not be counted.
- False declarations are taken seriously — they can lead to disciplinary proceedings under the ordinance.
